Creating a Paperless Mailing List

We've created an easy way for you to create paperless mailing lists to get in touch with potential members of your group. If you take part in activities like Welcome/ Refreshers Fair, or anything where you'd like to get people to sign up to a mailing list we'd recommend using this system. It's:

  • More sustainable, helping you to reduce your use of paper
  • More secure, lowering the risk of losing student data
  • Works with our current systems, meaning you can use this to email potential members for free

Here's how to get started using this functionality. Please note that you'll need to be set up as an administrator for your group in order to follow this guide - get in touch with bristolsu@bristol.ac.uk if you don't have the correct permissions.

Sign in, go to your dashboard and then click edit on the group you'd like to create a mailing list for

Click User Groups in the top menu

Click 'Add user Group' and then add a name and description and save

Make sure you give it a name that clearly describes what the user group is for.

You'll now see your mailing list in the list of available user groups. Click the corresponding cog and the magnifying glass to open the user group

We need the numbers from the end of the URL of the page you're currently on, highlight and then copy them

It's important to make sure that you've only copied the numbers as you'll need them for the next step.

In a new tab open this form and fill it in - again making sure to ONLY include the numbers from your user group URL

That's it! Our system will email you a QR code (usually within an hour) which students can scan to join your mailing list

It's important to mention that anyone who scans this QR code will be opted in for 14 days, after this point you won't be able to contact them unless they join your group or rescan the code.

To use this mailing list head over to the communications tab at the top of your group dashboard and click 'new campaign' from there you can just type in the name of your mailing list and create the rest of your email as normal
